Do I need to attend training before I can be moved onto Zimbra?

Ideally, yes. Information Services is currently moving accounts based on who has attended training. Workshops are being offered on an ongoing basis through the Professional Development Center, H121. A list of upcoming events is located on the SJDC Zimbra Help Site. If you are unable to attend one of the training events, you may review the Zimbra Web Interface Guide instead. If you feel comfortable with the material in the guide, please contact the Comp Serv Hotline at x.5304 so we can mark you down on the list of accounts to move.

How will I know when it’s my turn to be moved?

You will be contacted by someone from Information Services.

Will all of my e-mail be transferred onto Zimbra?

Yes. In order to facilitate as smooth a transition as possible, we ask that you delete any messages and/or folders you no longer need to keep, and empty your Trash.

Will my folders and subfolders remain intact?

Yes. Any folder structure you have created will be replicated on Zimbra.

Will my contacts and personal address books be transferred?

Yes. Any personal contacts you have will be moved and can be accessed under Zimbra’s Address Book tab.

Will my Meeting Maker appointments be moved?

No. Unfortunately, we do not have a way of transferring Meeting Maker data onto Zimbra. To address this issue, we will run Meeting Maker and Zimbra in parallel until everyone has been moved. It is our hope that this will allow sufficient time for everyone to transition off Meeting Maker and onto the Zimbra calendaring system.

Will students be using Zimbra?

No. Students will remain on the CommuniGate system.

How do I log in?

Bring up a Web Browser (Internet Explorer or Firefox) and go to http://zmail.deltacollege.edu

Your username is the same – your first initial and last name.

Your password will likley be reset during the move. If you experience trouble logging in, try your date of birth in the form, MMDDYY.

Can I access Zimbra from off-campus?

Yes. Zimbra is a web-based application which will allow you to access your email and calendar from any computer connected to the Internet simply by logging into the web interface at http://zmail.deltacollege.edu

Are there any technical requirements?

All you need is a Web Browser! The only fully supported browser for both Windows and Macintosh is Firefox 1.5 or higher. If you’re on Windows, you can also use Internet Explorer 6.0 or higher.

Will I have access to the SJDC Directory?

Yes. As in your current email client, you will be able to type in the first few letters of an email address and see the correct match automatically fill-in.

What will my mailbox quota be?

At the present time, there is no set quota. This is subject to change as more users are transferred onto the new system. If a quota is to implemented, it will not be less than the current allowance of 100MB.

How do I change my password?

A password change feature is currently under development.

Is there a limit to the size a message can be?

Yes. No message may exceed 30Mb, including attachments.

I’m unable to see text fragments in my list of messages. Where can I turn on this feature?

Click the “Options” tab

Click the “Mail” tab

Check the box that says “Show fragments in conversation/message lists”

How many tags can I create?

You can make as many tags as you wish, but keep in mind you only have seven colors to work with. You can always have multiple tags of the same color with different names.

Can a single message have multiple tags?

Yes. When you hover your mouse over the tag icon next to the message, you’ll see a pop-up list of all the tags you’ve applied to that particular message.

Is there a letterhead option available when composing new messages?

While there is no letterhead option, you do have the ability to format text with HTML.

When composing a new message, click “Options” and select “Format as HTML”

You’ll see a formatting toolbar appear at the top of the textbox where you type your message.

Where’s the BCC: field?

The Blind Carbon Copy field is an option that must be turned on whenever you wish to use it.

When composing a new message, click “Options” and select “Show BCC Field”

How do I set a vacation message?

Click the "Options" tab.

Click the "Mail" sub-tab.

In the middle of this screen, there is an area to set an "Away message" - be sure to enable it by checking the Enable box.

How do I mark messages as unread?

Click on a message to select it

Type the letter “M” and then the letter “U” on your keyboard

How do I sort by sender?

Click the “From” header at the top of your message list to sort by sender. You can also click “Subject” to sort alphabetically by subject, and “Received” to sort by date.

Tip: you can quickly pull up all of the messages from a certain person by right-clicking on their name in the message list, and selecting “Search” from the pop-up menu.

How do I attach a file?

When composing a new message, click “Add Attachment”

You’ll see a "Browse" button appear at the top of the textbox where you type your message.

Click "Add Attachment" again to attach additional files.

Can I set up mail filters/rules?

Yes, users sometimes like to set up rules to automatically filter Campus Announcements into a designated folder to alleviate Inbox clutter. This is just one example. To create your own filters:

Click the “Options” tab

Click the “Mail Filters” tab

Click “New Filter” and enter the parameters to your specification.

My Inbox is defaulting to Conversation View. Can I change this?

Yes. To swich back to Message View, where each message is individually displayed on the top pane, and the "active" message is displayed on the bottom, do the following:

Click View "By Conversation" in the upper-left corner of your screen, right above where your folders are displayed.

This will show you a drop-down menu from which you can select "By Message". You will see the format of your Inbox switch to Message View.

If I move a message that is part of a conversation to a different folder, is it still recognized as being part of that conversation?

Yes. When you sort by Conversation, messages are grouped into threads regardless of which folders they’re located in. When you view the conversation, you will be able to see which folder each message is in by looking at the "Folders" column on the right.

If I change the subject of a message reply, will the reply still be tied to the conversation?

No. You must leave the Subject line unchanged.

When I try to print a message, I get a printout of everything on the screen in a small font size instead of the message by itself.

This is probably the result of going to File >> Print, which gives you a printout of the whole browser window. To print the message by itself, click the print icon from the toolbar above your list of messages. The icon is located in the middle of the toolbar, and looks like a printer. Careful not to click the Trash can!

When printing, the size of the font depends on what the sender of the message has their default font size set to. It's probably 10 or 12. In order for you to get a larger size in your printouts, they would have to log into their account, go to Options >> General, and change their default font size to something bigger.

An easier work around is just to copy and paste the text of the message into Microsoft Word, use its editing features to enlarge the font size, and print directly from there.

Is there a return receipt option?

No.

Can I save messages off Zimbra into my computer's hard drive?

We are currently researching ways for mail to be archived.

What if I’ve never had a Meeting Maker account? Will I have a calendar in Zimbra?

Yes. Everyone will have the ability to set up calendars and propose meetings. Even if you don't foresee using the meeting feature, it's a good idea to at least input your class schedule, office hours, lunch hour, or any other times you're regularly unavailable. This prevents others from trying to set up meetings with you when you're not free.

Keep in mind that the Zimbra calendar is also an excellent place to keep track of personal appointments. You can even set up a different calendar for each member of your family. Later, you can overlay them to keep track of when and where everyone's going to be!

Can appointments and meetings be color coded?

No. However, what you can do is create multiple calendars, and make each calendar a different color. For example, your Business calendar could be blue, your Personal calendar could be red, and your Vacation and Holidays, orange. Then you can overlay the calendars to see all of your appointments at once, "in color".

When sharing calendars, can certain appointments be made private so they’re not viewable by those sharing my calendar?

No. You can, however, have both a Business and Personal calendar, and opt to share only the Business calendar. Your Personal calendar will remain private.

Can I share my calendar or schedule meetings with people off campus?

No. Zimbra is an internal system intended to be used by Delta College employees only.

How will meeting locations like the Mustang Room be managed?

This is yet to be determined.

What is the resources tab used for?

Resources is not yet in use, but is designed to allow you to see a list of resources available for check out. One example is Audio / Visual equipment you may need to borrow for a presentation.

How do I create new calendars?

Right-click on the black "Calendars" heading in the upper-left corner of the screen, and select "New Calendar" from the sub-menu.

In the window that pops up, give the calendar a name and assign it a color.

Click OK, and the new calendar will appear under the "Calendars" heading on the left.

Click the check box next to the new calendar to see it overlayed with your default calendar.
