Class Record/Permanent Roster


A student must be officially enrolled to attend class(es). Under no circumstances should a student be allowed to attend class if he or she is not properly enrolled.

Instructors may begin using the Permanent Roster, approximately two weeks after the beginning of the term. This document should list students who were enrolled on the first day of class (unless they subsequently dropped) and any students who added during the Late Enrollment and Adjustment Period.

Your permanent class record reflects System 2000 Lite information. Please check each class section in System 2000 Lite carefully to determine if students who completed an Instructor Add Memorandum form have officially been enrolled in the course and if all equivalency requests have been approved.

Instructors are encouraged to utilize Micrograde for tracking attendance and grade recording. For attendance tracking only, instructors may elect to use MS Excel Spreadsheets. Assistance with preparing MS Excel Spreadsheets is provided in the Faculty Resource & Development Center, located in the Holt 121. The Center is open as follows:

Monday - Thursday
9:00 a.m. - 6:00 p.m.

Friday
9:00 a.m. - 5:00 p.m.

Instructors who wish to use an Excel Spreadsheet already formatted in docushare may do so by following these instructions.

Important Notice

This isn't something to become frustrated over. If you are unsuccessful in doing this the first time, send me an e-mail with the appropriate information. I will do the roll/roster, send a printed copy and e-mail a copy of the roster to you.

Please follow these instructions:

  1. Open System using Internet Explorer if you are a MAC user. Open desired class list in System 2000 Lite.
  2. Highlight class information displayed above Student Name. To highligh information, place cursor at the beginning or the end of the text you wish to copy.
  3. For Mac: Apple Key & "C" key to copy text. Change screen to Temporary Roster screen. Place cursor in text box to the left of these instructions. Click within the text box. Apple Key and "V" key to paste.
    For PC: Right -Click on highlighted text from System 2000 Lite. Select Copy and left-click. Temporary Roster screen.
    To PASTE what you have copied, place cursor in text box to the left of the instructions, click with the text box, Right-Click the mouse and select Paste
  4. Repeat Step 2 and 3 highlighting the students names to copy. Then place the cursor in the first cell under student...of your roster and paste using the TO PASTE directions in Step 3.
    Note: To delete the columns that you do not want of the student information - select the column by clicking on the letter of the column. Right-Click and select Delete. This will delete the column.
  5. To Print: Find the bottom right hand corner of last entry on the bottom of this spreadsheet. Click the mouse, holding it down and move the cursor up and to the left of the screen until all you want to print is highlighted. In the toolbar, above find File, then Print Area, then "set print area".
    Then following the steps you normally use to print.
